Many SME owners are carrying an invisible role on top of everything else: company reminder system.

Did the supplier reply? Has the quotation gone out? Who is following up with the customer? Was that invoice checked?

The owner remembers, asks, nudges and checks. The work keeps moving — but only because one person refuses to let it drop.

This is not only a people problem

It is easy to say the team needs to be more proactive. Sometimes that may be true. But first look at the system around them.

Can everyone see who owns the next action? Is there a clear due date? Does the team know what done means? Where should an update be recorded?

If those answers live only in conversations or in the owner’s head, people are forced to guess.

Replace chasing with visibility

A simple shared view can change the conversation. It should show:

  • The work that is active
  • The person responsible for the next step
  • The date or condition that triggers follow-up
  • What is blocked and why
  • What has been completed

This does not need to begin with expensive software. A clear board or shared sheet can expose more than another round of reminders.

Keep judgement where it belongs

The goal is not to turn people into machines. Teams still need judgement, conversation and support.

But judgement should be used for exceptions and decisions — not for remembering every routine handover.

When the process carries the reminder, the owner can return to leading.

Choose one area where you are always chasing. Make ownership visible for two weeks. Then ask the team what became easier and what still falls through.

That small experiment can tell you exactly what to improve next.
